Job Description for the3million admin/ coordinator role 

 

 

 

the3million is looking for a volunteer to manage our admin and organisational coordination work, starting immediately. This is an unpaid voluntary role - we may be able to reimburse some travel costs.

 

We would prefer a volunteer living in or near Bristol, where we have an office space.  We are ideally looking for 1 day a week, working in the Bristol office, but we are flexible about the distribution of those hours across the week.  Further details are below.

Responsibilities:

 

Coordination work
 

  • Organise twice-weekly steering group meetings - send out agenda with reminder, take minutes at the meeting and circulate 

  • Organise other meetings - send invitations, book rooms, keep track of who is attending and using our conference call facility 

  • Coordinate meetings for the3million’s Board

  • Arrange public events within a budget (eg. party conference fringe events) - liaise with venues, organise leaflets, organise live streaming, promote on social media etc. 

  • Keep track of holidays and who is available when.

 

Office management
 

  • Order leaflets, promo material, business cards, promo products - keep track of stocks

  • Help with envelope stuffing/ mailing for larger mail outs. 

 

Information management
 

  • Managing mailing list for our steering group and posting on other social media groups (Facebook/ Whatsapp)

  • Create an internal file management system for keeping track of key policy and governance documents 

  • Help develop systems/processes for compiling ad hoc information about specific issues (eg. problems applying for settled status)

  • Make minor updates to our website when required.

 

Person specification
 

  • Able to self-manage, juggle demands and prioritise work

  • Proactive, able to identify gaps in our processes and come up with solutions

  • Able to cope with a “virtual workplace” with frequent conference calls and no traditional “office environment"

  • Capable of working with a mix of volunteers and paid staff

  • You do not need to have campaigning experience or knowledge about politics - but some interest in EU citizens’ situation after the 2016 referendum would be an advantage.

  • Hours are flexible, but you should be able to commit to a consistent workload.
